Adopting a new approach to meet complex customer requirements

IT consulting and implementation services provider inpeek AG is an SAP silver partner offering deep and proven development, technology, and integration capabilities for SAP solutions. Founded in 2009, the company stands apart with a refreshingly different approach to service delivery, where its collegiate and employee-empowered culture is built on team members supporting and motivating each other.

 

When responding to requests for proposals and putting together tender documents, the company recognized that having accurate and up-to-date information on employee credentials and capabilities, previous assignments, and project references was critical.

 

However, employees and account managers were documenting projects and employee profile information in siloed spreadsheets and documents, using a variety of proposal templates. Miksa Schnellmann, sales manager at inpeek, explains, “We had lots of different templates, and every employee profile looked different. What’s more, there were multiple versions of employee profiles and project references, depending on the bids that they were previously used in. And with no skills ontology or centralized repository for accessing this information, it took our sales team substantial manual effort to find the right information and then structure it in a consistent format. And once we captured the right information, there was no way to analyze it further.”

Summarix was born out of a need to simplify access to project and employee profile data for tender submissions. It offers centralized, structured, ready-to-use information and a chatbot function that reduces the manual effort involved in finding the right information for creating sales offers and tenders.

Maximizing visibility of employee expertise and project reference data

In looking for a more efficient way to create sales offers and tenders, inpeek opted for a novel approach. Rather than customize a market offering to its needs, the SAP partner decided the best approach was to use new technologies to build its own solution that it called Summarix. In this way, inpeek could double-down on training its people in new technology from SAP while building an innovative tool to solve its challenges.

 

An early iteration of the tool focused on providing a centralized documentation process and intuitive templates using the SAP Fiori design system. Built by inpeek in an on-premises environment, the tool was developed using ABAP platform, integrating on-premises SAP HANA as its centralized database, PDF export functionality, and analytic apps.

 

After seeing the extensibility and commercialization potential of the tool, inpeek made the strategic decision to migrate from the on-premises database to SAP HANA Cloud. It also opted to use SAP Business Technology Platform (SAP BTP) to take advantage of digital workspaces from the SAP Build solution. Using offerings on SAP BTP, including the SAP Cloud Application Programming Model framework, known as CAP, allows for simplified integration with the SAP solution ecosystem while also providing a faster and more secure development environment.

 

To further enhance functionality, the company worked with the product team from SAP to test out the capabilities of the SAP HANA Cloud knowledge graph engine. The engine allows data in SAP HANA Cloud to be integrated, queried, and leveraged in new ways. To make the data more accessible, inpeek developed an AI-enabled chatbot feature using SAP Business AI capabilities, including SAP AI Core infrastructure and SAP AI Launchpad, also on SAP BTP.

 

Schnellmann comments, “With Summarix, we found a way to meet the increasingly complex demands of our customers and clients while boosting the productivity of our employees. Thanks to built-in PDF generation and versioning as well as integration with SAP solutions, Summarix empowers teams to quickly find, analyze, and present the right information—enhancing proposal quality, consistency, and speed across the board.”

 

The solution’s information architecture is shown in the diagram. Fabian Hüni, AI engineer at inpeek, explains: “The data from the SAP HANA database is first extracted, then transformed into a knowledge graph and finally ingested into the SAP HANA Cloud knowledge graph engine for further querying. The knowledge graph engine can then be used as the source of information to answer questions about employee credentials and project references.”

The original concept for Summarix was an on-premises solution. We migrated it to the cloud to modernize, scale, and make it future ready. This move allows us to simplify integrating it into our and our customers’ existing SAP landscape.

Elevating the win rate for bids with higher-quality proposals

Far beyond a documentation tool, Summarix centralizes and structures all sales-relevant data—such as employee skills, project references, and best practices—into a single intuitive space. It features automated and customizable form generation, a chatbot for AI-enabled search, and analytics capabilities for deeper insights.

 

With the development of Summarix, inpeek transformed what was once an inefficient and time-consuming activity for its team into a smooth and centralized documentation process that provides a competitive advantage.

 

Not only did Summarix reduce the documentation effort for tenders and proposals by approximately 60%, it also improved data quality and reusability. Meanwhile, the chatbot feature enables much faster search times to identify suitably credentialed and experienced employees who fit a tender’s specific requirements. The knowledge graph engine in SAP HANA Cloud allows the chatbot to answer more-complex queries.

 

Hüni explains, “The SAP HANA Cloud knowledge graph engine is a cornerstone of our chatbot. It enables users to submit precise queries at any time, retrieve data directly from the knowledge graph engine, and receive concise summaries of profiles and project references. This means the chatbot can also answer virtually any question about our company’s expertise.”

 

What’s more, with automated PDF generation of employee profiles and project references to suit specific customer requirements, there’s no longer a need to manually compile and format documents. Thanks to built-in versioning, Summarix allows teams to flexibly adapt documents to the unique demands of each procurement and proposal process—whether it’s based on industry, scope, or client expectations. This speeds the processing and generation of this important documentation, which is now up to 80% faster than it was previously.

 

Schnellmann comments, “Before we developed the tool, we had to physically review previous sales documents and interview key individuals to find the right information for new tender requirements. We’d then put our response together by manually collating profiles, best practices, and project references. A lack of standardization and flexibility meant the process was really inefficient. Now, all that has changed. We can use Summarix and talk with the chatbot or use the analytical apps to specify the skill sets needed over a particular time frame, and the output is generated instantly.”

The chatbot functionality uses SAP Business AI to generate the right search query with the right filters for specific questions. In the past, these filters needed to be created in the tool with the user interface. Now you can simply ask questions of the tool itself.

Aiming for deeper integration with the SAP solution ecosystem

In terms of commercializing Summarix, inpeek has recently launched the solution on the SAP Store site.

 

Elsewhere, inpeek is looking to integrate Summarix with the SAP solution ecosystem, prioritizing talent management solutions and talent intelligence functionality in the SAP SuccessFactors HCM portfolio. The idea is that for customers managing core HR and talent management functions in SAP SuccessFactors solutions, their new-hire data will automatically transfer to Summarix.

 

Furthermore, inpeek is looking to integrate the chatbot functionalities with the Joule capability through the development of Joule Agents.
