By embracing SAP Fieldglass, Atruvia elevated its contingent workforce management to a whole new level. “Thanks to SAP Fieldglass, we moved from contracting names to focusing on the right skills, resulting in a generally more targeted approach to resourcing,” summarizes Regina Krüger-Wendel. “We can now provide our teams with people with exactly the skills and experience levels they need for specific projects.”

Additionally, Atruvia has established new processes that increase its cashflow. “In the past, we sometimes relied on static payment schedules based on arbitrary dates,” explains Regina Krüger-Wendel. “With integrated statements of work and more standardized time tracking, we have much better control of our budgets and can optimize our cashflow. We now only pay after the work has actually been completed. As a result, the data quality provided by our partners is better and they are motivated to work more effectively and get things done. This approach improves overall business performance and accelerates the delivery of key features and apps.”

With improved data and deeper insights, executives can make data-driven decisions and better manage the budgets across projects and teams. “New dashboards help us understand and manage capacities much more effectively, improving our business agility,” says Regina Krüger-Wendel. “Before using SAP Fieldglass, we simply did not have these insights. Now, we can respond better to changes and reprioritize budgets and tasks dynamically to create the most value.”

With a consolidated view across all external workers and employment agencies, Atruvia can also manage its relationships with its partners more effectively and offer flexible resources at more attractive rates to its business departments. “With SAP Fieldglass, we can compare rates between different partners much easier,” explains Regina Krüger-Wendel. “We can quickly see who worked on which projects with what rates and skill levels to spot inconsistencies. The increased transparency helps us negotiate better prices, achieve a more uniform fee structure, and realize further savings for the business.”

The new solution helps Atruvia to get a more strategic perspective to decide on different delivery models such as near-shoring. By implementing SAP Fieldglass at its subsidiary in Romania, the company increased the efficiency and productivity of the local team. “SAP Fieldglass enabled us to scale up our near-shoring operations across all projects and departments,” adds Regina Krüger-Wendel. “We’re currently working with about 1,200 external workers in Romania. This approach supported by SAP Fieldglass reduced our staffing costs by about 30%.”

Improved documentation and central overview also help Atruvia to strengthen cybersecurity and compliance. The company can now easily see who needs access and permissions to which systems over which period of time, enabling a higher level of automation and reducing business risk. Overall, Atruvia estimates that more integrated processes save about 20% in administration and management overheads.

Atruvia onboards about new 200 external staff every year. By moving to SAP Fieldglass and integrating the solution with other systems, the company saves 1 FTE for basic administration tasks. “We optimized our processes and saved a lot of time, so employees no longer have to use different systems for different contracts and can focus on more interesting and demanding tasks, improving overall staff satisfaction,” says Sabine Roth. “Structured workflows replaced endless email chains and we can easier make sure that everything is ready, so new people can be productive from day one.”
