Driving digital HR transformation with D:LIFE

DECJUBA Pty Ltd. was relaunched in 2008 with a vision “to make everyone look and feel amazing,” and this customer- and purpose-driven approach still informs every decision the company makes. Today, DECJUBA has more than 140 stores in Australia and New Zealand and operates internationally online. Over the years, it has augmented its range of accessible, effortless DECJUBA fashion with the offerings D-LUXE Basics, DECJUBA Kids, DECJUBA Beauty, and DECJUBA Men.

 

DECJUBA’s philanthropic arm, DECJUBA Foundation, is committed to partnerships with local and global charitable organizations that transform lives and create real, sustainable change. DECJUBA has also announced its intention to become Australia’s most responsible fashion label, including a five-year plan to ensure the company remains accountable to its sustainability goals.

 

Integral to the fashion retailer’s ongoing success is the DECJUBA “dream team,” comprising 2,000 employees across both stores and support offices. The predominantly female-led company is focused on creating a supportive work environment in which DECJUBA’s core values of honesty, bravery, integrity, innovation, and optimism help every team member thrive.

 

Achieving the company’s philanthropic, sustainability, and growth goals would not be possible without the effort and collaboration of these team members. To improve their experience, DECJUBA implemented D:LIFE, a company-wide HR agenda aimed at bringing empowerment, future focus, accountability, and continuous improvement to the team member lifecycle.

 

Prior to D:LIFE, DECJUBA used manual spreadsheets and multiple disconnected HR systems, including ad hoc recruitment and onboarding programs. This lack of cohesion and reliance on labor-intensive processes negatively affected data integrity and quality while impacting the efficiency and sustainability of HR processes. For example, new team members had to complete five forms, while creating a job requisition was a convoluted task that could take a day to complete.

 

D:LIFE aimed to digitally transform DECJUBA’s team member lifecycle through a comprehensive HR system that would deliver consistency, efficiency, and data authenticity across the business.

Designing for efficiency and consistency with a modern HR solution

DECJUBA required a robust HR system that could handle its growth trajectory, help solve its issues with inefficient manual processes, and provide user-friendly access to important team member data and HR processes. The company selected SAP SuccessFactors solutions for their ability to handle DECJUBA’s complexity as a retailer and their flexibility to adapt to and expand with the company’s needs.

 

Another key reason for choosing SAP SuccessFactors solutions was the fact that the retailer’s implementation partner, KALTech Group, is an expert in SAP software and would be able to customize the solutions where required to suit both existing processes and future needs.

 

DECJUBA and KALTech took a collaborative approach to implementation, creating an effective working relationship that prioritized transparent communication and regular progress updates for team members. As a result, implementation of the new D:LIFE HR system took only 16 weeks from the first demo meeting to go-live.

 

During this process, the implementation team delivered several solutions, including the SAP SuccessFactors Employee Central, SAP SuccessFactors Recruiting, and SAP SuccessFactors Onboarding solutions.

 

Implementing SAP SuccessFactors solutions was part of a larger system revision and cultural change at DECJUBA to accommodate the company’s evolving product lines and sustainability initiatives. This transformation required a holistic change management program that included all DECJUBA team members and stakeholders. The D:LIFE project team ensured they clearly communicated to team members why these changes were taking place, helping put DECJUBA on the right track to continue to deliver great results into the future.

We’ve seen multiple improvements, including increased time efficiency, reductions in paper usage and labor-intensive processes, and accurate and live data, which is a game-changer. The candidate experience is near seamless, our leaders are more empowered, and tasks are automated, prepopulated, and synchronized.

Continuously improving the team member experience

SAP SuccessFactors solutions have brought numerous benefits to DECJUBA’s HR processes and helped create a more consistent and rewarding team member experience.

 

Having reliable access to accurate live data in a user-friendly HR system has been a game-changer for DECJUBA, empowering store managers and other leaders to take charge of their own recruitment and administration. Improvements in data access and integrity have also positively impacted DECJUBA’s many deskless workers. Team members use the SAP SuccessFactors Mobile app for a range of tasks, including job request approvals and recruitment changes.

 

Using the mobile app, store managers can recruit and onboard new team members in real time in the store. This is particularly useful for seasonal recruitment, with an intake of approximately 500 casual team members each year. Digitalized recruitment processes also benefit new team members, who now enjoy a more streamlined onboarding experience and introduction to the company.

 

HR tasks have become significantly more time efficient with the ability to prepopulate data. For example, the company can more rapidly create organizational charts and reports and determine the manager of a specific store. Job requisitions that previously took hours to complete now take only three minutes, with 90% of data already prefilled.

 

SAP SuccessFactors solutions are also helping DECJUBA achieve its sustainability goals. The HR department is now paperless, with previously printed forms and contracts stored digitally in the D:LIFE system. The onboarding process no longer uses physical paperwork, with important team member data such as tax, banking, superannuation, and personal information completed using the mobile app.

Continuing to support growth and product diversification

DECJUBA has an upcoming new beauty range and three new stores due to open soon across Australia. To support this growth and other company initiatives, the fashion retailer intends to continue working with KALTech Group in the next phase of its SAP SuccessFactors solutions implementation.

 

This will involve integrating the SAP SuccessFactors Learning, SAP SuccessFactors Performance & Goals, and SAP SuccessFactors Succession & Development solutions to support team members in their career development and advancement. Completing this phase will unite the HR lifecycle, facilitating a consistently enhanced work experience for diverse DECJUBA team members for years to come.
