Overcoming inefficient and manual processes to improve HR operations

With more than 45 years of experience, Infocenter S.A.E. has 180 certified consultants leading the implementation of SAP solutions in challenging projects. The consultancy is proud to have more than 450 satisfied customers across both public and private sectors in Paraguay.

 

Infocenter was struggling with inefficient HR processes. As a result, its HR team was focusing on administrative rather than strategic work and employees were spending time on menial tasks and activities, resulting in a poor employee experience. For example, time-off requests were processed manually with Microsoft Excel–based spreadsheets, e-mails, and nonintuitive systems. This led to approval delays, errors, wasted administrative time, and employee frustration. Apart from relying on the HR team, the only way to access employee information was to search through directories and several systems. There was slower decision-making, a poor communication flow, and reduced agility as a result. A lack of clear visibility into the organizational chart and different teams meant it was difficult to know who was available or how a team was structured. This caused weak coordination and communication as well as a heavier workload for managers.

 

Approvals were slow and spread across multiple channels, with managers required to log in to different systems, review e-mails, and track approvals manually. The company therefore experienced process bottlenecks, a slower execution of changes, and a negative impact on employee motivation. Employees’ personal data was outdated and poorly managed, and they weren’t able to update their information simply. This created a risk of payroll inaccuracies, failed communications, and legal and administrative issues. Organizational changes involved lengthy processes, with no traceability or clear summaries for managers. There was potential for errors in role assignments, a lack of audit control, and employee confusion about their job status.

Embracing AI capabilities and cloud-based solutions to strengthen HR processes

Infocenter has deployed the Joule copilot and SAP Business AI capabilities in SAP SuccessFactors HCM—specifically the SAP SuccessFactors Employee Central solution—to increase efficiency and productivity in its HR operations. It’s now using AI agents that understand business processes and data. As a result, the consultancy has been able to automate time-off requests and deliver instantly accessible employee information, such as e-mails and phone numbers. It has also centralized and sped up its approval processes while providing transparency into who’s who within the organization.

 

Adding to its expertise in bringing cloud ERP software to its customers, Infocenter is migrating to an SAP Cloud ERP solution using the GROW with SAP journey to enable more-agile process management. And the company is integrating this solution with SAP SuccessFactors HCM. Making information and approvals readily available

Infocenter has experienced tangible benefits by using SAP Business AI features in SAP SuccessFactors HCM. Thanks to an AI assistant, the consultancy has made it quicker and more intuitive for its employees and executives to manage time-off requests. Employees can create, track, and cancel absences and vacations in a chat function that uses natural language. And managers can approve absences and minor changes directly in the chat, reducing cycle times.

 

With step-by-step assistance, the guided personal-data updates allow employees to keep their profile details current. This information is now available company-wide at the touch of a button. When employees ask the AI assistant who’s on their team, they receive a list of direct reports, an immediate organizational chart, and a useful status that tells them who’s absent on that particular day. Finally, staff transfers and changes of position or manager are provided with natural-language summaries and workflow tracking.
