Southwest Gas faced information compliance challenges
using outdated, time-consuming, and manual processes in
two critical functions reliant on real-time data attached to
thousands of field workers at any given moment. The first
challenge requires inspectors to verify current employee
and contractor identities, training, and qualifications for
each job request. In the past, field workers manually
printed hundreds of pages proving their credentials.
Incorrect records resulted in the delay of critical services.
The second challenge required compliance managers to
review and approve thousands of receipts matched to field
operator expense reports in a timely framework.
Addressing these issues, Southwest Gas innovated two
solutions leveraging SAP Business Technology Platform
(SAP BTP) to automate real-time data access. The first
solution, integrating SAP BTP and SAP SuccessFactors’
learning management system (LMS), allows inspectors
to review and approve field worker qualifications quickly.
By using their smart phone to scan technician badges
with unique QR codes, inspectors automatically access
up-to-date LMS employee and training certification
information. The second solution, integrating SAP
Integration Suite and SAP Concur, helps compliance
managers to automatically match scanned receipts
filtered by job and field worker.
These innovative approaches for automatically
processing compliant data resulted in many
improvements. They eliminated wasteful productivity loss
due to hours spent manually processing and reviewing
training data printed on paper. Time spent on jobsite
identification inspection was streamlined from hours to
minutes with a quick badge scan. Performance safety
was improved by quickly confirming certifications
required for varying infrastructure jobs in real time. They
lowered the risk of critical service delays caused by
potentially outdated or missing data, and they removed
potential compliance risks due to outdated expense
reporting. In recognition, Southwest Gas was honored
with Innovation and Vision Awards.
