HELLENiQ ENERGY is a leading energy group in southeast Europe, engaged in various activities across the energy value chain and operating in six countries. The group’s primary business focus is refining, and it has a 60% share in the Greek wholesale oil products market.
HELLENiQ ENERGY also holds a leading position in the domestic ground fuels marketing sector, with a retail network of more than 1,600 service stations throughout Greece. It’s also involved in liquefied petroleum gas; industrial, aviation, and marine fuels; and lubricants businesses.

With a focus on operational excellence, energy efficiency, and reducing its carbon footprint, HELLENiQ ENERGY embarked on a large-scale digital transformation centered on SAP S/4HANA Cloud Private Edition through the RISE with SAP offering. The transformation included adopting SAP Business Network and SAP Ariba solutions to streamline procure-to-pay processes, SAP SuccessFactors solutions to digitalize human resources and people management processes, and SAP Signavio solutions to manage the business transformation from strategy to execution. And through RISE with SAP, HELLENiQ ENERGY also gained access to SAP Business Technology Platform (SAP BTP) as its catalyst for innovation.

To meet the organization’s unique business needs, HELLENiQ ENERGY turned to SAP BTP.
A new capital expenditure process for cross-functional collaboration
With its commitment to investing in a net-zero future and a disciplined investment strategy focused on achieving attractive low-risk returns, HELLENiQ ENERGY needed to reinvent investment proposal and change management processes that relied on considerable manual effort. These processes were prone to data inaccuracies and involved slow approval procedures.
Joining forces with Netcompany-Intrasoft S.A., an SAP partner specializing in SAP BTP, HELLENiQ ENERGY looked to enhance cross-departmental collaboration, document management, and process transparency by extending SAP solutions to meet specific business needs while maintaining a clean core approach.
To achieve this aim, HELLENiQ ENERGY tapped services for low-code development, enterprise automation, and document management to build an app that streamlined investment project approval workflows, task assignments, and data synchronization. Integrating SAP S/4HANA Cloud Private Edition and the SAP Build Apps development environment, the SAP Build Process Automation solution, and SAP Document Management service through SAP Integration Suite, it recalibrated its investment proposal and management of change processes.
As shown in the diagram, to submit an investment proposal, business users can access a dedicated business site that was created using SAP Build Work Zone and provides a single point of access to relevant information on the investment approval process. It guides users to an intake form that was created using SAP Build Apps. Once users have entered the required project details, the form submission initiates a dynamic approval process that was created using SAP Build Process Automation.
Based on the information provided in the intake form and defined business rules, the digital capital expenditure approval process automatically determines the right decision-makers and contributors to engage across multiple departments. This enables fast and efficient processing of the request and maintains accountability. And because the process draws in required data from SAP S/4HANA Cloud Private Edition and business documents from the SAP Document Management service through OData APIs, decision-makers and contributors view the same up-to-date information.

Empowering users with more-consistent data enabled by automation
As HELLENiQ ENERGY expands and diversifies its business portfolio, the transformation of its investment proposals and management of change processes on SAP BTP is playing an important part in supporting the group’s strategic agenda. Replacing a functioning but obsolete solution gives HELLENiQ ENERGY flexibility and room to grow.
By consolidating tasks for investment proposals and management of change tasks within a unified interface, HELLENiQ ENERGY simplified how users access and complete tasks, improving efficiency and providing a better user experience. The digitalized process reduces manual effort for data collection and identifying the relevant decision-makers and contributors. It accelerates processing through defined responsibilities and accountability. And in-flight requests can be tracked and managed, enabling timely processing.
The dynamic and API-driven approval workflows in SAP Build Process Automation trigger approval requests to the appropriate individuals, reducing bottlenecks and enabling faster project initiations and change implementations.
Improved collaboration across departments helps ensure smooth handover and reduces duplicate effort, human errors, and inconsistencies. The auditable data trail improves transparency and governance, helping adhere to corporate policies, legal regulations, and audit requirements.
And the integration with SAP S/4HANA Cloud Private Edition enables planning and budgeting to be based on real-time visibility into budgets, commitments, and expenditures, resulting in better planning and allocation of budgets. The integration also streamlines the process of converting approved projects into accurately recorded investments.
With 99% of investment proposal and management of change tasks across three refineries now automated, HELLENiQ ENERGY has seen a significant reduction in delays and errors in manual processing, realizing time savings of over 30 person days per month.
And rather than storing attachments in the application server, integration with the SAP Document Management service means documents are more securely managed and readily accessible, enhancing document management compliance and traceability.
What’s more, the solution’s modular design allows for future scalability and adaptation, aligning with HELLENiQ ENERGY’s evolving business requirements and digital transformation objectives.
