Transportation from Orlando International Airport

We recommend using a standard shuttle or taxi service from the airport to your hotel. Orlando International Airport (MCO) is 12 miles from Orange County Convention Center (OCCC).

Complimentary shuttle service – conference hotels and OCCC

A complimentary shuttle service is provided between OCCC and all official conference hotels, except those within walking distance to the conference center.

Parking

Conference registration for the event is on the south side of the building, and using the South Parking area is recommended. Parking at OCCC is first-come, first-served, including disabled parking. The parking fee is US$20 for each car.

Special assistance

Many buses on the shuttle route are equipped with lifts and meet the needs of individuals with limited mobility. For further information, please send us an e-mail or go to the transportation booth located outside the South Concourse.

International attendees

If you need an invitation letter as part of your visa application, you can request one during the registration process. Once your registration is complete and payment is received, the letter of invitation will be sent to you by e-mail in PDF format. If you have already registered, you can re-access your registration by using the Access My Registration function and completing the Visa Information section to request the letter of invitation.

The event is available to all interested adults 21 years of age and older.

 

Please note: SAP reserves the right to cancel an attendee's registration or request that an attendee leave the event if that individual is engaged in competitive, harmful, or disruptive behavior.

 

If an attendee is notified that their registration has been canceled, it is the attendee’s responsibility to make the necessary changes to hotel and travel arrangements.

Yes, the ASUG pre-conference seminars are taking place on Monday, May 15. You will have the opportunity to purchase access during the registration process. Additional fees apply.

When you register for the event, the ASUG member discount will automatically be applied for current ASUG members. To receive the discount, your company email domain on your registration profile must exactly match your ASUG member company email domain. If you have questions about your membership status or would like to verify how your company name is listed, contact memberservices@asug.com.

There are no show floor-only passes available.

No, there are no one-day passes available for attendees.

Yes, SAP Sapphire & ASUG Annual Conference Orlando will honor a government rate to bona fide employees of a U.S. or Canadian federal, state, or local government entity, including public higher education institutes. Within the registration process, you will be able to select the check-box that states you wish to participate at the public sector rate. All attendees registering under the government rate will be required to show their employee-issued government ID or other proof of employment upon check-in.

Attendees are not able to bring guests to the event.

If you have received a formal invitation from SAP to attend the event, your invitation will include a link to accept the invitation, which will formally bring you into the registration process.

Please check back on the confirmation email you received, which contains details on how you can retrieve your login information.

You can obtain your confirmation e-mail by re-accessing your registration using the Access My Registration function. Once you have accessed your registration, you will be able to e-mail yourself a copy of your confirmation e-mail.

Registration for the conference includes access to all business presentations, show floor experiences, session offerings, product demonstrations, food and beverages provided on show floor, and evening events included in event agenda.

We accept payment by credit card only. Purchase orders are not accepted as a form of payment. We are unable to make exceptions. If you have any questions concerning this information, send an e-mail to payments@sapevents.com.

You can obtain a registration receipt by re-accessing your registration using the Access My Registration function. You will need your confirmation number or the e-mail address you used to register, along with the password you created in the registration process. Once in your registration, you can e-mail yourself a copy of your registration receipt.

Substitutions are permitted for full-conference paid attendees only, and with someone from the same company. There is no service fee for name change substitutions if the payment information stays the same. A US$150 service fee will apply to any substitutions requiring payment changes.

 

To initiate a substitution, re-access your registration using the Access My Registration function and click the “Substitute Registration” link.

 

Substitutions will not automatically update your hotel reservation. Please contact your hotel directly for changes.

Notification of registration cancellation must be made by e-mail to payments@sapevents.com, referencing the registration confirmation number. Regrettably, cancellation requests cannot be taken over the phone or other media.

Please note that cancelling a conference registration will not cancel a hotel reservation. 

A US$350 service fee applies to all registration cancellations received on or before Friday, April 14, 2023. Registration cancellations must be submitted by e-mail to payments@sapevents.com, referencing the registration confirmation number.

 

Regrettably, cancellation requests cannot be taken over the phone or other media, and no refunds will be given on cancellations received on or after April 15, 2023.

Food and beverages will be provided at the conference. All-day food and beverages will be served on the show floor and will be available at all times so that you can nourish when it is best for you.

During the online registration process, you will be able to indicate whether you have any special dietary requirement or food allergy conditions so that we may accommodate your needs. Regrettably, on-site requests for dietary restricted meals cannot be accommodated.

Discounted rates at SAP designated hotels are for registered attendees only. You will have the opportunity to book your hotel immediately after completing your online registration. Once you have completed your conference registration online, select the “Book/Modify My Hotel” button, which brings you to the online reservation system for conference housing.

 

If you have already registered but didn’t secure your hotel, use the Access My Registration function and select the “Book/Modify My Hotel" button in the bottom-right corner.

No, the registration fee includes access to the conference but does not include hotel accommodations.

SAP has negotiated special discounted hotel room rates at a variety of Orlando properties. To make a hotel reservation in the conference hotel block, you must be a registered attendee. After completing the online registration, attendees will have the opportunity to book housing.

Conference hotel blocks fill up quickly, so we strongly encourage you to reserve your hotel room early to get the best opportunity to book at the conference hotels. Discounted hotel rates, based on hotel availability, are available until 11:59 p.m. EST on Monday, April 24, 2023, or until the official conference hotel blocks are filled – whichever comes first.

 

A deposit of one night’s room and tax is required to guarantee your reservation. The deposit may be reflected on your credit card statement as early as Tuesday, April 25, 2023. A credit card must be presented at hotel check in as the final method of payment.

 

All conference hotels are relatively close to the convention center; varying from across the street to eight miles away.

There are several hotel blocks for this event. We do our best to make the most options available to all attendees. It is possible that capacity at your colleague’s hotel had been reached, so you were not able to book there. It is also possible that your colleague was directed to a specific hotel block based on their role at the event.

Conference registration and hotel reservations are managed independently. Changes or cancellations to an existing hotel reservation can be made online. Use the Access My Registration function and select "Book/Modify My Hotel” in the bottom-right corner. You will need the your last name and Passkey Acknowledgment Number to log in; this information can be found in your hotel acknowledgment e-mail. An automatic response will be sent to the e-mail address on file. Please keep this e-mail for your records.

 

After April 25, 2023, contact your hotel directly for changes or cancellations.

 

Any changes to an existing hotel reservation are subject to availability.

 

All hotel cancellations made within three business days of arrival will result in a cancellation fee of one night's room and tax charged to the credit card on file. Failure to check-in to the hotel on the scheduled arrival date will result in forfeiture of the one night's room and tax deposit and the remaining nights of the reservation will be cancelled. SAP nor ASUG will not be responsible for cancellation or no-show charges.

You will receive your badge upon check-in at the South Concourse of the Orange County Convention Center after providing ID.

Yes, wireless access will be available at the Orange County Convention Center. The SSID and password will be provided on the back of your conference badge.

No children are permitted at the conference. You must be 21 or over to attend.
