Confronting complexity and committing to do better

The HR operations of Kbank Co. Ltd. were once defined by inefficiency and fragmentation. Manual processes governed even the simplest tasks, such as updating contact information or processing leave requests. These actions required multiple approvals and often took days to complete, creating delays and frustration for both employees and HR staff. Reporting was equally cumbersome, relying on spreadsheets and handwritten files that slowed decision-making and limited visibility into workforce data.

 

The absence of self-service tools left employees dependent on HR for routine updates, while the lack of integration between systems created silos and hindered collaboration across departments. HR professionals were burdened with administrative tasks that consumed time and resources, leaving little room for strategic initiatives. As the bank expanded and its workforce grew more diverse and distributed, these inefficiencies became increasingly problematic.

 

The limitations of the legacy system also posed risks in terms of compliance and data accuracy. Without centralized, real-time access to employee data, it was difficult to ensure consistency across records or respond quickly to regulatory requirements. The bank recognized that to remain competitive and agile, it needed to modernize its HR infrastructure and adopt a system that could scale with its ambitions.

 

The goal was clear: build a modern HR system that could support business growth, empower employees, and provide the data needed for strategic decision-making. This required not just new technology but a completely new way of thinking about how HR services were delivered.

Rebuilding HR around a cloud-first strategy

To realize its vision, Kbank partnered with PwC Korea to implement SAP SuccessFactors solutions in a project branded internally as “People Lounge.” Over 232 days, the bank deployed the SAP SuccessFactors Employee Central, SAP SuccessFactors Performance & Goals, SAP SuccessFactors Career and Talent Development, and SAP SuccessFactors Employee Central Payroll solutions, along with SAP Business Technology Platform (SAP BTP) for integrations and extensions. The implementation was structured in two major phases and involved more than 50 stakeholders, including internal task forces, external consultants, and cross-functional teams.

 

The transformation introduced mobile-friendly self-service capabilities, allowing employees to manage their own information and transactions. This shift eliminated paper forms and manual approvals, dramatically improving speed, accuracy, and convenience. Employees can now update personal details, submit leave requests, and access HR services from their devices—empowering them with greater autonomy and reducing the administrative burden on HR.

 

The project included integration with Shiftee, a domestic software-as-a-service solution for time and attendance, and the development of a welfare portal using SAP BTP to manage benefits, including condolence funds, club memberships, and resort applications. These enhancements were designed to not only streamline operations but also improve the overall employee experience by centralizing access to essential services.

 

Throughout the implementation, Kbank emphasized change management and user engagement. Training sessions, feedback loops, and pilot testing helped ensure that employees were comfortable with the new system and that the platform was tailored to the bank’s unique needs. The result was a smooth rollout that aligned with both operational goals and cultural values.

 

By adopting a cloud-first approach, Kbank also positioned itself to benefit from ongoing innovation. The SAP SuccessFactors platform offers regular updates, robust security, and scalability—allowing the bank’s HR capabilities to evolve alongside its business strategy.

Achieving tangible results across the organization

The impact of Kbank’s HR transformation was immediate and far reaching. Lead times for personal information updates dropped from 48 hours to just a few hours—a 90% improvement. Overall HR process times were cut by more than half, thanks to the automation of workflows and the elimination of manual steps. Employees can now complete tasks independently, without waiting for HR, which has significantly improved satisfaction and productivity.

 

Reporting, once a manual and time-consuming task, has become instantaneous. Executives have gained access to real-time dashboards, enabling faster, more informed decisions. The ability to generate reports on demand and visualize workforce data in real time has given leadership a clearer understanding of organizational dynamics and performance trends.

 

Employee satisfaction with the new system has risen to four out of five, a significant improvement from the previous system, which had no measurable score due to its limitations. The intuitive interface, mobile accessibility, and self-service features contribute to a more engaging and empowering experience for employees across all levels.

 

The transformation has also improved compliance and integration. SAP Integration Suite enables smooth connections with external systems, including the National Tax Service and other software-as-a-service solutions. This helps ensure that data is consistent, more secure, and readily available for audits, reporting, and regulatory submissions.

 

The success of the transformation has had a ripple effect across the organization. HR teams are freed from repetitive tasks and can focus on strategic initiatives such as workforce planning, talent development, and organizational design. The improved efficiency and transparency fosters a culture of accountability and continuous improvement.

 

Employees now enjoy greater autonomy through mobile access and intuitive interfaces, while HR gains the insights needed to align strategy with performance. The transformation has laid a strong foundation for a more resilient, data-driven, and people-focused organization.

Continuing the journey with innovation and insight

Kbank views this transformation not as a conclusion but as the beginning of a longer journey toward continuous innovation. The bank is actively developing story reports and dashboards to gain deeper insights into workforce trends, training compliance, and employee engagement. These tools will help HR leaders make proactive, data-driven decisions that align with business goals and support long-term growth.

 

Plans are also underway to integrate AI tools such as Microsoft Copilot to automate routine tasks, enhance decision-making, and personalize employee experiences. By leveraging AI, Kbank aims to further reduce administrative overhead and deliver smarter, more responsive HR services.

 

In addition, the bank intends to implement the SAP SuccessFactors Succession & Development solution to support leadership pipelines and career growth. This will help enable Kbank to identify high-potential talent, plan for future leadership needs, and provide employees with clear development paths.
