Automating document management to simplify compliance submission and keep workers safe

Located on the Pilbara Coast in Western Australia, CITIC Pacific Mining Management Pty Ltd. and its parent company, Sino Iron, are a fully integrated, pit-to-port magnetite iron ore mining, processing and export corporation.

 

Open-pit mining is complex and high risk, mandating extensive worker training and compliance documentation for CITIC and its partners. Gathering driver’s licences, high-risk work licences and other credentials requires extensive partner training – a challenge that can lead to workers arriving on-site without the paperwork they need.

 

Even when compliance documents are in order, manual submissions and reviews – as well as record keeping, updates and reporting – take time and constantly pose the risk of human error. On top of that, expiring compliance documents can go undetected, leading to additional workforce safety risks. And using unencrypted e-mail increases the risk of exposing personal information.

 

CITIC Pacific Mining wanted to extend its HR and learning management software to create a fit-to-purpose document management system. The solution would need to include an integrated, self-service application for uploading documents as well as an automated workflow for recording, storing and updating compliance records.

The Cloud Success Services team from SAP was instrumental in the success of this innovation project. They understood the mobilisation challenges of our industry in depth. They are responsible for facilitating the collaboration of this project and conceptualising a solution, and they were pivotal in bringing this idea to life.

Co-innovating with SAP and DalRae Solutions to develop a secure compliance document management system

CITIC was already using SAP SuccessFactors solutions to manage its internal and contractor workforce. It partnered with DalRae Solutions and the Cloud Success Services team to develop and deploy a fit-to-purpose compliance document management application using SAP Business Technology Platform (SAP BTP). A series of ­design-thinking workshops helped establish requirements and the development plan.

 

Cloud Success Services helped configure the SAP SuccessFactors Learning solution, integrate it with SAP BTP, and manage changes to the Identity Authentication service that runs on SAP BTP.

 

SAP SuccessFactors Learning provides the structure for managing compliance documents as learning items, so no changes to core business processes were required. SAP BTP made it possible to automate and digitalise document compliance using the SAP Build Process Automation solution and the SAP Document Management service. SAP BTP also provided built-in integrations, development tools and mobile capabilities, as well as the level of cyber resilience that CITIC needed to protect compliance and workforce data. The new application provides employees and contractors with a simple, fast and convenient way to document safety compliance, eliminating manual information collection, entry and validation. Everything is stored in one location, and the system is always up to date – helping ensure compliance at all times. Plus, end-to-end encryption helps secure worker data and protect privacy.

Increasing productivity, saving money and ensuring better compliance for a safer workforce

The new document compliance application saves time and effort for CITIC administrators by putting the responsibility and control of credential submission into the hands of its employees and contractors. They now have a simple, fast and convenient way to upload compliance and safety documentation through a user-friendly self-service portal. The retrieval of pertinent information, such as date of birth, document issue date and expiration dates, happens automatically – without manual extraction – saving time and eliminating human error. Document routing to the appropriate personnel for review and approval is also automated based on structured workflows and business rules, removing an unencrypted e-mail-based process and providing an auditable digital record. Compliance document update reminders are also triggered based on extracted issue date, expiry date and other preestablished business rules, reminding workers to upload new documents before the current ones expire.

 

Role-based access control means that only the required personnel have access to sensitive worker information, while a simplified, single-sign-on architecture using two-factor authentication makes employee and contractor login both simpler and more secure.

 

Because it can now more easily and efficiently ensure compliance, CITIC has saved as much as A$300,000 and roughly 200 days in learning administrator time. In fact, CITIC expects to achieve a full return on its investment within the first six months. When tighter compliance and increased safety for CITIC’s workforce are also considered, it’s clear that the new document management system has proved highly valuable.
