Acting rapidly to help the university community

Along with all educational institutions, Instituto Tecnológico y de Estudios Superiores de Monterrey (Tec de Monterrey) faced the prospect of social-distancing requirements brought about by the COVID-19 pandemic. Dedicated to developing future leaders by providing the best possible learning and growth experiences, it wanted to continue the world-class teaching to its home-based students by using a digital learning platform. It needed its faculty to understand how to make the most of this technology by quickly familiarizing them with the techniques to deliver engaging virtual lectures and tutorials.

 

As well as providing academic instruction through online learning, the university wished to support the mental health and well-being of its students and staff. It was eager to gauge their feelings and get feedback on improvements it could make. It also wanted to gather information on areas such as working preferences so it could plan effectively for staff and student needs. And it sought to continue attracting and nurturing the right teaching talent to deliver on the vision of being a world-renowned university. Tec de Monterrey needed to act fast to protect its community while still delivering an excellent education that has earned it a place in the world’s top 200 universities.

We needed to provide professors with the skills required to make online learning as effective as possible. We also wanted to gather information from students, faculty, and operational staff working remotely to monitor well-being, assess support needs, and collect information to help us make staff-planning decisions.

Initiating a digital environment for remote learning

Using its existing learning management system based on the SAP SuccessFactors Learning solution, Tec de Monterrey designed and delivered training courses on digital teaching techniques to all faculty staff working remotely. Its ability to deploy this training in only a few days was important in helping to take all its courses online in just over a week, allowing the university to continue supporting students in achieving their potential. It also used the solution to offer staff career assessments as well as upskilling and reskilling trainings and courses focusing on diversity and inclusion topics.

 

It developed a series of electronic surveys using Experience Management (XM) solutions and Employee XM solutions from SAP and Qualtrics to assess student and staff well-being and identify areas for assistance. Straightforward to create and distribute using intuitive tools, the surveys enabled it to ask targeted questions across its community and to quickly process and analyze responses. Based on the feedback, the university could formulate clearly focused programs to support key groups with issues such as mental health and financial difficulties. Further, it gained detailed data on topics such as staff preferences for remote, on-campus, or hybrid working so it could plan effectively to help ensure adequate staffing levels. The hybrid model is likely to remain, and more improvements around digital learning are in the pipeline.

 

With the SAP SuccessFactors Talent Management package, the university identified where it needed to accelerate staff recruitment or training, focus performance appraisals on specific deliverables, and provide development in areas such as technical, leadership, and language skills. Using the SAP SuccessFactors Recruiting, SAP SuccessFactors Onboarding, and SAP SuccessFactors Employee Central solutions, Tec de Monterrey was able to reduce the time to evaluate candidates for part-time teaching positions by 70% and measure talent mobility.

Using the SAP SuccessFactors Learning solution, we quickly rolled out courses for faculty staff on teaching using a digital platform. We also deployed Experience Management and Employee Experience Management solutions from SAP and Qualtrics to survey students and staff on various topics.

Supporting students and staff efficiently in a time of need

While the COVID-19 pandemic may have suddenly forced Tec de Monterrey into virtual learning, it saw firsthand how it could successfully do this at speed. In only 10 days, Tec de Monterrey swapped lecture halls for virtual classrooms to become the first university in Mexico to offer a comprehensive distance-learning program. This was possible due to the rapid creation and distribution of training courses for faculty staff on digital classroom skills, enabling them to deliver engaging lessons remotely. This digital learning model – with 10,000 professors teaching virtually – allows the university to bring the best learning experiences to students by increasing and deepening the learning opportunities for the professors and the faculty. And it means students can continue their studies without disruption.

 

The university could also concentrate more on well-being in both health and diversity and inclusion terms. Thanks to the intuitive tools in XM and Employee XM solutions from SAP and Qualtrics, the university’s nontechnical staff were able to quickly create, deploy, and analyze the surveys. By understanding the evolving needs of its students, faculty, and operational staff, it can develop targeted well-being support and practical assistance programs offering help and advice on issues such as health, finance, and nutrition. This complements ongoing surveys where students can comment on university activities, processes, professors, and quality of education. Staff can also give insight on matters such as flexible benefits or the performance appraisal process. All of these results feed into continuous improvements in Tec de Monterrey’s programs, courses, and services, helping it offer what’s expected of a top international university attracting people from within and outside of Latin America.
