The event is available to all interested adults 18 years and older.

 

SAP reserves the right to cancel an attendee’s registration or request that an attendee leave the event if that individual is engaged in competitive, harmful, or disruptive behavior. For more information, please refer to our code of conduct.

 

If an attendee is notified that their registration has been canceled, it’s the attendee’s responsibility to make the necessary changes to hotel and travel arrangements.

The conference takes place at the IFEMA Madrid, Av. del Partenón, 5, Barajas, 28042 Madrid, Spain (Puerta Norte, North entrance) from May 26 to 28, 2025.

Show floor hours* are:

  • Monday, May 26: 1:00 p.m.–5:00 p.m.

  • Tuesday, May 27: 10:30 a.m.–5:30 p.m.

  • Wednesday, May 28: 9:00 a.m.–3:00 p.m.

* Please be aware that show floor hours are subject to change.

Food and beverages will be available at the conference throughout the day. Breakfast is included in all official SAP-affiliated conference hotels.

During the online registration process, you can indicate that you have a dietary restriction or food allergy so that we can accommodate your needs. Regrettably, on-site requests for special meals cannot be accommodated.

Registration information

If you have received a formal invitation from SAP to attend the event, your invitation will include a link to accept the invitation, which will formally bring you into the registration process. Alternatively, you can also register by clicking on “Register Now”.

 

You will need an SAP.com account to register. With an SAP.com account, you can register for SAP events and access resources such as trial software, analyst reports, and product road maps.

 

Register with an existing SAP.com account:

  1. Select the Register now link below.
  2. Enter the email linked to your SAP.com account. You'll be redirected to the SAP Universal ID login page.
  3. Enter your SAP account credentials. You may be prompted to review and update your account data if required information is missing.
  4. Accept the Conference Terms & Conditions.

 

Register by creating a new SAP.com account:

  1. Select the Register now link below and enter your email address. Shared email addresses will not be accepted.
  2. Complete and submit the account registration form. A challenge-response test may be required for security verification.
  3. Check your email for an account activation link, which will be valid for 15 minutes. If it expires, restart the registration process, resubmit the form, and request a new activation email by selecting the corresponding link under the email field.
  4. Select the activation link in your email. You’ll be prompted to create a password and accept the SAP Universal ID terms of use. After you submit your password, you'll be redirected back to the event registration page.
  5. Accept the Conference Terms & Conditions.

  • Public sector: €1,599 (excludes 21% VAT)

 

Group discount rates for general attendees:

  • Buy 5, get 10% off: €8,995 (excludes 21% VAT)

Yes, SAP Sapphire Madrid will honor a government rate to bona fide employees of a federal, state, or local government entity, including public higher education institutions. During the registration process, select the box that states you wish to participate at the public sector rate. All attendees registering with the public-sector rate will be required to show their employer-issued government ID or other proof of employment upon check-in.

No, attendees are not allowed to bring guests to the event.

Substitutions are permitted for full-conference paid attendees only, and with someone from the same company. Original payment is required to be transferred to the substituted attendee.

 

To initiate a substitution, request of substitution must be made by email to sap@delegate.com. Please reference the registration confirmation number.

 

Substitutions will not automatically update your hotel reservation. Please contact your hotel directly for changes.

Registration includes access to all business presentations, show floor experiences, session offerings, product demonstrations, food and beverages provided on the show floor, and evening events included in the event agenda.

We accept payment by credit card only. Purchase orders are not accepted as a form of payment. We’re unable to make exceptions. If you have any questions concerning this information, email us at sap@delegate.com.

You can obtain a registration receipt by accessing your reservation. You will need your confirmation number or the email address you used to register, along with the password you created during the registration process. Once in your registration, you can email yourself a copy of your registration receipt.

Notification of registration cancelation must be made by email to sap@delegate.com. Please reference the registration confirmation number. Regrettably, cancelation requests can’t be taken over the phone.

 

Cancelation fees apply. See the cancelation and refund policy for fee structure within the Terms and Conditions. Please note that canceling a conference registration will not cancel a hotel reservation. Attendees are personally responsible for canceling their hotel reservation.

A €350 fee applies to registration cancelations made on or before Friday, May 3, 2025. Refund requests received after Friday, May 3, will not be honored.

Account management and support information

Your SAP Universal ID serves as a wallet for managing your SAP user identities. It ensures easy access to your account, learning certificates, and community content.

  1. Using a Google Chrome browser, open an incognito window and go to account.sap.com.
  2. Enter your email address and Universal ID password. Select Verify Account.
  3. You’ll receive an email with a verification code; enter the code.
  4. Add noreply-uid@sap.com to your safe sender list. If you don’t receive the account activation email, you may request a code up to three times by resubmitting the account registration form. If you exceed the number of attempts, contact the support team.

Use the SAP Universal ID Account Manager to manage your linked accounts, personal data, and security and privacy settings.

You can make changes in the SAP Universal ID Account Manager. If you use multiple email addresses, be sure to assign one as your primary address and to maintain the email addresses of any users linked to your SAP Universal ID.

Please note that customer passes to SAP Sapphire are for customers only. Partners may not register as customers. If a company is both a partner and a customer, attendees from the customer side must reach out to their SAP account executive for a direct invitation to register.

Hotel, transportation, and international travel information

To make a hotel reservation in the conference hotel block, you must be a registered attendee. Once you have completed your conference registration online, click “book/modify my hotel,” which takes you to the online reservation system for conference housing. You’ll need your last name and passkey acknowledgment number to log in; this information can be found in your hotel booking confirmation email. Please keep this email for your records.

 

If you didn’t book your hotel at the time of registration, access your registration and click “book/modify my hotel" in the bottom-right corner.

No, the registration fee includes access to the conference but does not include hotel accommodation.

SAP has negotiated special discounted hotel room rates at a variety of Madrid properties. Discounted rates at designated hotels are for registered attendees only and will be offered on a first-come, first-served basis.

Conference hotel blocks fill up quickly, so we strongly encourage you to reserve your hotel room early. Discounted hotel rates, based on hotel availability, are available on a first-come, first-served basis.

All conference hotels are relatively close to the convention center, varying from across the street to eight miles away.

There are several hotel blocks for this event. We do our best to make the most options available to all attendees. It is possible that capacity at your colleague’s hotel had been reached, so you were not able to book there. It is also possible that your colleague was directed to a specific hotel block based on their role at the event.

You’ll need to manage your hotel reservation independently of your conference registration. Cancelations or changes to an existing hotel reservation can be made online. Access your registration and click “book/modify my hotel” in the bottom-right corner. You’ll need your last name and passkey acknowledgment number to log in; this information can be found in your hotel booking confirmation email. Please keep this email for your records.

 

After May 14, 2025, contact your hotel directly for changes or cancelations.

 

Any changes to an existing hotel reservation are subject to availability.

 

You must cancel hotel reservations more than three days in advance of arrival. If you cancel within three days of arrival, you’ll lose your deposit of one night’s room cost, including tax. If you fail to check in to the hotel on the scheduled arrival date, you’ll lose your deposit, and the remaining nights of the reservation will be cancelled. SAP will not be responsible for cancelation or no-show charges.

The nearest airport is Adolfo Suárez Madrid–Barajas Airport.

The airport is approximately nine minutes from IFEMA Madrid.

We recommend parking in the Red/Brown lot located behind Hall 10. More than 1,900 slots are available.

 

Electric cars can be parked and charged, at a cost, in the Iberdrola charging stations located in the Yellow lot located at the southern end of the venue.

 

Parking is available on a first-come, first-served basis, including disabled parking.

 

The parking fees are as follows:

  • Regular rate: €2,95 / hour (VAT included; payment per minute)

  • Prepaid: €15 / day (VAT included)

 

You can get savings for stays longer than 4.5 hours. This rate must be chosen in the first hour of stay in the parking lot. You must purchase it at the manual points of sale and at the parking lot ATMs.

  • Maximum: €21 (VAT included)

We encourage guests to use public transportation between hotels and the event. Customers, sponsors, and partners can pick up a Metro card along with your badge. The card gives you free access to city-wide public transportation from May 26 to 28, 2025. To get your Metro card, access your account and update your registration.

Yes, complimentary shuttle service will be available from the Celebration Night to the official conference hotels. More information will become available in the mobile app.

Please be aware of unofficial housing solicitations. Please note the only email addresses affiliated with SAP for the conference is saphotels@delegate.com. SAP will not be responsible for any reservation made through a different channel.

 

To receive the special hotel rate at the conference hotels for this conference, you must use the SAP Sapphire Madrid official housing link found in your event registration confirmation email. SAP strongly recommends you do not book housing from any company that contacts you by phone or email.

On-site details and logistics

Registration is located near the exit of the baggage claim area for all terminals at the Adolfo Suárez Madrid–Barajas Airport (MAD). On-site registration hours are:

  • Monday, May 26: 10:00 a.m.–10:00 p.m.

 

Registration is also located at the North entrance of the IFEMA Madrid convention center.

  • Monday, May 26: 8:00 a.m.–5:00 p.m.

  • Tuesday, May 27: 7:30 a.m.–7:00 p.m.

  • Wednesday, May 28: 8:30 a.m.–1:00 p.m.

You’ll receive your badge upon check-in near the exit of the baggage claim area for all terminals at the Adolfo Suárez Madrid–Barajas Airport (MAD). You will need to provide a photo ID. Once you have your badge, don’t lose it. You must have a badge to enter all official areas of the event. Badge pick-up hours are:

  • Monday, May 26: 10:00 a.m.–10:00 p.m.

 

You can also pick up your conference badge at the North entrance of the IFEMA Madrid convention center.

  • Monday, May 26: 8:00 a.m.–5:00 p.m.

  • Tuesday, May 27: 7:30 a.m.–7:00 p.m.

  • Wednesday, May 28: 8:30 a.m.–1:00 p.m.

If you opted in for a Metro pass during registration, you can pick it up along with your conference badge at the registration area at IFEMA Madrid, North Entrance.

Yes, you can get a Metro pass by accessing your registration and changing your choice before arrival, or by speaking with our representatives at the IFEMA Madrid, North Entrance.

Yes, the convention center has wireless internet access. The wireless ID and password will be on the back of your conference badge.

No, children are not permitted at the conference. Attendees must be 18 or over.

Yes, the dress code is business casual. Jeans are allowed if not frayed or ripped.
