Introduction to Data Testing for FSM Integration with S/4HANA OP 

This is part 2 of a 3-part series on How to Integrate Field Service Management (FSM) with S/4HANA On Premise (S4HOP).  FSM is part of our SAP Service Cloud offering, to meet the needs of customer service tickets management with powerful field resources planning and scheduling.  The first part covered the setup and configuration of the integration and can be found at: https://cxwiki.sap.com/x/2DSmHg

The data testing article guides you to send to master and transactional data, which will test the connectivity and integration functionality between FSM and S4HOP.  In Part 3, we will show you different tools to diagnose and troubleshoot on any integration problems.  

We will begin with sending master data from S4HOP.  The type of master will use one of 2 standard ways of getting data from S/4HANA OP to FSM.  One method is based on the Data Replication Framework (DRF) and the other method is using export and upload of CSV files.   Since the S4HOP is the system of record, master data integration is one-directional to FSM.

Lastly in this article, we will cover sending transactional data - basically the service order – from S4HOP.

Sending Business Partner to FSM

Since master data is one-directional from the system of record - S4HOP, you will begin on that system.  

  1. Login into S/4HANA OP.
  2. To get some business partner test data to work with, run transaction BP and note down some business partners IDs (or small range of business partners) to send.
  3. Next run transaction DRFOUT.
  4. For Replication Model, select FSM_BP.
  5. For Outbound Implementation, select 986_3 (should only be 1 choice).
  6. On the program toolbar, click Manual Replication Filter Criteria.
  7. A new screen will display.  For field Business Partner, enter one of the sample business partner IDs from step 2.
  8. Click Execute.
  9. You will see Display Logs.  In the Details column, you can click the Details Exists icon (magnifying glass) to confirm the delivery.


To verify on FSM side:

  1. Login to FSM master data management module.
  2. On the left navigation bar, select Business Partners
  3. Click the Search icon (magnifiying glass), and enter the Business Partner id of the sample data
  4. If found, it will display in the results.    If found, it will mark this integration as successful.

Sending Products to FSM

  1. Login into S/4HANA OP.
  2. To get some business partner test data to work with, run transaction MM03 and note down some Material IDs (or small range) to send.
  3. Next run transaction DRFOUT.
  4. For Replication Model, select FSM_PROD.
  5. For Outbound Implementation, select 194_3 (should only be 1 choice).
  6. On the program toolbar, click Manual Replication Filter Criteria.
  7. A new screen will display.  For field Material, enter one of the sample Material IDs from step 2.
  8. Click Execute.
  9. You will see Display Logs.  In the Details column, you can click the Details Exists icon (magnifying glass) to confirm the delivery.


To verify on FSM:

  1. Login to FSM master data management module.
  2. On the left navigation bar, select Items.
  3. Click the Search icon (magnifiying glass), and enter the Material id of the sample data.
  4. If found, it will display in the results.  If found, it will mark this integration as successful.

Sending Equipment to FSM

  1. Log into FSM tenant and get the Equipment template from the FSM dataloader.
    1. Go to https://<region>.coresystems.net/dataloader/#/dataloader/  (subsitutie region with value from your actual FSM url).
    2. Login using your assigned FSM Account, Company and User ID.
    3. Choose Equipment from the Select the data object type dropdown list.
    4. Click the DOWNLOAD TEMPLATE (CSV) button.  The file Equipment.csv will be available in the Downloads folder.  You will need this file in the later steps.

2. Login into S/4HANA OP

    1. Use transaction SE16N.
    2. Enter EQUI for the table name.
    3. Browse the returned rows, and select a row or 2 of Equipment master records.
    4.  Click the Export icon and choose “Select from All Available Formats”.   Confirm that “Excel – Office Open XML Format (XLSX)” is the choice.
    5. Select Continue to save the file.
    6. Open the exported XLS file in Excel.


3. Copy data from step 2 above in the Excel from step 1

a. In FSM, resume from the Equipment export screen in Step 1. 

b. Select the updated Equipment CSV file and click IMPORT DATA.

Sending Service Order to FSM


Create the Service Order in S/4HANA OP first:

  1. Login into S/4HANA OP.
  2. Next run transaction CRMD_ORDER.
  3. Select Service Order and click the Create button.
  4. Be sure to fill the fields: Description, Sold-To Party, Service Employee Group, Bill-To Party, Employee Responsible.
  5. On the organization Tab, be sure to fill the Org Unit for both Service Org and Org Sales Data sections,  Sales Org, Distribution Channel, Division.
  6. Click Save.
  7. Go to Status Field and select Released.   Click Save.  This will send the Service Order to FSM.  Note down the Service Order Number at bottom of screen.


To verify on FSM:

  1. Login to FSM master workforce-management module.
  2. Look for the Service Call using the Order number from the S4HOP section above.






Conclusion

This article has presented 4 ways to testing your integration between S4HOP and FSM.  The master data for Business Partners and Products can be sent using the Data Replication Framework.  In the absence of the DRF, you can use the FSM dataloader.  For transactional data, the data sending mechanisms are automatic, depending on the Service Order status.
