Laying a robust digital technology foundation to support massive growth
Guided by science, empowered by technology, and passionate about caring for people, LetsGetChecked aims to empower people to live longer, happier lives by offering health and wellness testing for a variety of conditions. The global healthcare solutions company provides the tools to manage health from home through access to health testing, virtual care, and medication delivery. LetsGetChecked’s business operations span manufacturing, logistics, lab analysis, physician support, and prescription fulfillment.
Serving customers in North America and Europe, LetsGetChecked has delivered nearly 10 million tests and supported more than 1,000 corporate customers with testing services and biometric screening solutions since it was founded in 2015.
As a medical technology company that’s dedicated to bringing healthcare to the home, the company operates within a strict regulatory environment. This includes managing medical records and patient data in compliance with the European Union’s General Data Protection Regulation and the U.S. Health Insurance Portability and Accountability Act.
With its operations growing rapidly, LetsGetChecked’s legacy finance and business management systems had to adapt to support the company’s ongoing requirements. The company needed a robust digital foundation to support its expansion while accommodating the stringent regulatory requirements of its operational environment.

Integrating operational flows and best practices for rich data insights
For LetsGetChecked, the right solution needed to help it optimize its manufacturing operations, streamline the administration of medical records, improve the management of incoming and outgoing test orders, and integrate with various third-party solutions.
The team at LetsGetChecked evaluated a number of solutions against its comprehensive requirements and strict regulatory obligations, liking the capabilities offered by SAP S/4HANA Cloud, public edition. The company was impressed by the functionality to automate manual processes from sales order generation to purchase order creation and the automated approval matrices that support a secure and controlled environment. LetsGetChecked also found the functionality for multicurrency, multi-entity, and multidomain processing was ideal for its needs.
Ronan Ryan, chief operations officer at LetsGetChecked, comments, “The critical thing for us was the functionality to do a range of things from monitoring product manufacturing to managing incoming and outgoing test orders from our labs. As we receive a large number of online orders with highly confidential patient data, we need to extract that data before sending sales orders into our ERP application. So, ease of integration with our various technology systems for tracking and tracing, patient data, and medical records was another critical factor.”
To manage the technology rollout, LetsGetChecked joined forces with proven SAP implementation partner Sapphire Systems Inc., going live with the solution in just seven months. Ryan adds, “From day one, the team at Sapphire truly understood our business and our vision. The team expertly configured SAP S/4HANA Cloud, public edition to our needs with best-practice processes and segregation of duties, in addition to setting up standardized as well as customized key reporting.”

Transforming business capabilities in a highly regulated environment
Since the implementation of SAP S/4HANA Cloud, public edition, the healthcare company has seen significant efficiency gains across its business. In its manufacturing operations, material requirements planning enables much stronger control over inventory management. The solution also allows the business to expand very quickly by solving different regulatory issues in different markets. Shane Cusack, finance project manager at LetsGetChecked, explains, “Prior to the implementation, relying on nonintegrated legacy systems meant there were discrepancies and variances. Now, with one source of truth from connecting data flows, we have streamlined ordering and manufacturing processes, getting the right inventory to the right locations globally at the right time.” The result is an uptick in the company’s manufacturing output of approximately 30%.
Likewise, the automation of the steps needed to create, approve, validate, manage, and track purchase orders up to the point of delivery has transformed its procurement operations, making them more efficient. Gary Fitzgerald, group financial controller at LetsGetChecked, comments, “By adopting the public edition of SAP S/4HANA Cloud, we’ve been able to solve a lot of the problems that we had in the business. For example, our manufacturing planning ability is now organized with our next month’s schedule in mind, whereas beforehand it changed from week to week. The company’s manufacturing downtime has also been reduced significantly.”
Fitzgerald adds, “By automating purchase order processing and approval flows in tandem with sales order generation processes, we’ve dramatically reduced the manual workload across these areas. This has already reduced our end-of-quarter closing from around 25 days to just 15 days.”

Continuing its transformation by fully utilizing advanced functionalities
Having adopted SAP S/4HANA Cloud, public edition, LetsGetChecked is in a strong position for future sustainable growth and achieving its revenue targets while meeting regulatory needs. With stage one of the transformation project complete, LetsGetChecked plans to continue working with Sapphire Systems to implement the solution across its labs businesses.
The company is also looking to adopt the SAP Analytics Cloud solution for its financial and operational data. “This will be a game changer for us, allowing us to provide key operational and financial metrics in real time to our executive team on a daily, weekly, or monthly basis,” says Fitzgerald.
Ryan concurs, “While we’ve implemented a huge amount of automation and best-practice processes, I think we’re only scratching the surface of the capabilities offered by SAP S/4HANA Cloud, public edition. Phase two of our transformation involves bringing our lab operations onto the advanced ERP solution and enhancing the capabilities that we’ve introduced so far with additional automation. We want to fully utilize the advanced functionalities offered by this software and maximize our use of APIs for integrations with other applications.”
