Yet with asset data fragmented across more than 30 systems and hundreds of registers, gaining a trusted,network-wide view was virtually impossible. To address this, TfNSW developed the Transport Asset Custodian Platform (TACP), a unified, standards-based solution that brings together more than 2.9million asset records into a single, accessible platform. Built on SAP Business Technology Platform, and powered by SAP Analytics Cloud and SAPDatasphere, the platform empowers teams across agencies and regions with consistent insights into asset condition, risk, performance and investment needs. The result? A step-change in asset governance. Reporting that once took months now happens in hours. Strategic planning is data-driven, not spreadsheet-based. And leaders across TfNSW now have a reliable foundation for managing transport infrastructure today and well into the future.Insight in motion: How TfNSW isredefining Asset management for betteroutcomes with SAP Data & AnalyticsIndustry Disruptor
ChallengesTransport for NSW set out to build a smarter, more strategic approach to managing infrastructure data one that could serve the needs of Treasury, program owners, commercial partners, and community stakeholders. But first, they had to confront deep-rooted complexity across the asset landscape.Data was split across more than 750 registers and 32 systems, each with different definitions, formats and ownership models. Asset classifications variedacross modes and agencies. And critical processes, from risk reporting to cost forecasting, relied on disconnected spreadsheets and duplicated effort. The lack of a unified platform didn’t just hinder reporting. It made it harder to meet compliance obligations, anticipate investment needs, and plan forwhole-of-life performanceKey challenges included: Disparate systems Asset data lived in siloed tools, legacy systems and spreadsheets with no single source of truth Inconsistent standards Varying definitions, naming conventions and structures made it difficult to align data across asset types or modes High manual effort Reporting often required teams to manually cleanse, reconcile and stitch together hundreds of records Lagging insight Critical performance, compliance and climate risk reporting could take up to 12 months Trust and usability gaps Leaders lacked confidence in outputs and needed information that was intuitive, timely and decision-readyTfNSW needed a connected, consistent data foundation one capable of delivering insight at the speed and scale public infrastructure demands.
SolutionFaced with hundreds of spreadsheets, conflicting systems and rising compliance demands, Transport for NSW reimagined how asset data could be captured, shared and used. The result was the Transport Asset Custodian Platform (TACP) a single, strategic solution co-designed with executive users to drive consistency, transparencyand timely decision-making across a $211 billion asset base.Built on SAP Business Technology Platform (BTP), TACP unified 2.9 million records from 750+ registers and 32 systems.Key SAP technologies included:SAP Business Network Asset CollaborationFormed the shared asset registry, enabling consistent definitions across agencies and partners. It established the common language needed to scale governance.SAP DatasphereProvided secure access and modelling of asset data across multiple layers, eliminating duplication and ensuring clear data lineage.SAP Analytics Cloud (SAC)Delivered intuitive dashboards used daily by executives. Dashboards became the front door to TACP, shifting how performance, risk and investment data isconsumed.SAP Integration SuiteConnected 32 source systems into a live, harmonised data layer removing manual uploads and ensuring timely data for enterprise reporting and analytics. With these foundations, TfNSW replaced manual processes with trusted, business-ready insights that support safety, compliance and long-term planning.
Impact12-month reportingcycles reduced to 2 3 hoursTACP has redefined how Transport for NSW manages infrastructure data, shifting from disconnected systems and manual processes to a unified, strategic capability. The platform has delivered measurable improvements across reporting, governance, compliance and decision-making. Asset data is now live, consistent and accessible, supporting teams from the field to the executive.Key benefits include:TfNSW is now extending the platform’s capability, integrating operational asset performance data and exploring AI-driven decision support. The focus is shifting from describingwhat’s happened to anticipating risk and guiding investment with greater precision and foresight.2.9 million assetrecords unified from32 existing systems$211 billion in assetsnow in reach 10xmore users, real-timeaccessIntuitive self-servicecapabilities anddriving useradoption from 35 to350 (900% increase) Time savings External reporting cycles, previously taking up to 12 months, can now be completed in hours accelerating compliance and freeing up analyst capacity. Executive visibility More than 350 stakeholders, including the Secretary and executive teams, actively use SAC dashboards gaining self-serve insights withoutneeding technical support. Greater consistency A common asset data model ensures alignment across all modes and agencies reducing duplication, improving trust and enabling true network-wide analysis. Improved compliance TACP supports Treasury, WH&S and climate risk obligations with traceable, version-controlled data that can be audited at any time. Scalable governance The platform provides a single source of truth across all asset classes from physical infrastructure to digital systems enabling data driveninvestment and risk decisions. Increased productivity By eliminating spreadsheets and manual reconciliation, teams have reclaimed hundreds of hours now redirected to planning, optimisationand delivery. Cultural shift Asset intelligence has moved from the margins to the mainstream embedded in how decisions are made, performance is tracked, and public value isdelivered.
“”TACP is a first-of-its-kind innovation in Australia. It revolutionises assetmanagement by integrating over 750 asset registers covering tangibleand intangible asset classes into a single, unified platform, setting anew standard in asset management across the transport sector.- John Hardwick, Executive Director of Asset Management, Transport for NSW
