As part of its broader NextGen transformation and journey to SAP S/4HANA, GWF delivered a trio of high-impact initiatives using SAP Signavio to surface hidden
inefficiencies, reclaim working capital, and prepare for a cleaner digital core.
The Source to Pay (S2P 27, 85, and 14) initiatives were central to this shift.
• S2P 27 and 85 focused on streamlining GRNI and aged purchase order reconciliation
• S2P 14 tackled thousands of low-value, high-volume POs, enhancing system accuracy and reporting fidelity.
• Obsolete Plant Maintenance Orders Cleanup addressed 600,000 ghost records in ECC, eliminating unnecessary load and highlighting the value of process
transparency.

George Weston Foods saw a clear opportunity to modernise how its business managed procurement reconciliation. With SAP Signavio, the team set
out to bring new levels of transparency, accountability and insight to a critical financial process, ensuring it was fit for scale, collaboration and long-
term value.
The The Source to Pay (S2P 27, 85, and 14) initiatives were designed not only to resolve aged purchase orders and GRNI balanc es, but to embed a
smarter, enterprise-led approach to financial governance.
Key opportunities for transformation:
• Enterprise alignment: Leaders recognised that managing GRNI and purchase order closure required unified effort. The initiative brought
together procurement, finance and operations around a single, shared goal – improve clarity, control and responsiveness.
• Proactive process ownership: Prior to Signavio, reconciliation was fragmented, manual and opaque. GRNI lines were managed through
spreadsheets and Compass tickets, with no system-led visibility. Signavio enabled transparency and empowered local accountability across
business units.
• Opportunity for value release: Signavio surfaced inefficiencies including 49 percent of GRNI items and 600,000 obsolete Plant Maintenance
orders generated by a dormant ECC module. Prioritisation frameworks helped teams triage both high-value records and system debt.
• Uplifting financial confidence: Stronger visibility, clear ownership and embedded governance lifted confidence in enterprise reporting and
audit readiness.
• Scalable transformation model: The program offered a repeatable model for cleansing legacy data, restoring trust in financial systems and
preparing confidently for S/4HANA.

business and finance teams together around a single source of truth. At the heart of the approach was early stakeholder engagement, aligning business units
around a shared view of the process and creating momentum for joint ownership.
To achieve these objectives, GWF focused on five core solution pillars:
• Process mapping and data transparency: Through Signavio Process Insights, GWF identified over 24,000 aged purchase orders and analysed root causes
like blocked approvals and outdated release strategies. This enabled targeted clean-up and prioritised action.
• Collaborative ownership frameworks: Cross-functional teams worked together to implement “quick wins,” release $850K AUD, and embed scalable
reconciliation through dashboards and workflows.
• Strategic prioritisation tools: Signavio enabled smart triage of both high-value records and long-tail inefficiencies, including thousands of low-dollar aged POs
and legacy PM orders.
• Governance embedded by design: The solution deactivated a background job creating 2,200 obsolete PM orders monthly, marked over 600,000 orders as
TECO, and established robust controls to prevent recurrence.
• Enablement and scaling capability: With clear ownership, local enablement and insight-led tools, GWF built a transformation model that supports clean ERP
migration and future initiatives.
