Energy Queensland is Australia’s largest publicly owned electricity provider, supplying energy to over 2.3 million customers across a vast and diverse state. |
Uniting the expertise of Energex and Ergon Energy, the organisation plays a vital role in delivering safe, reliable and increasingly sustainable power–from major
urban centres to some of the country’s most remote communities. With a workforce of more than 9,300 employees, it is deeply committed to safety, service and
smarter ways of working.
To better support its field teams, Energy Queensland developed two mobile-first applications that reimagined key daily tasks. One app digitises vehicle safety
checks; the other simplifies time and cost entry. These tools are designed for real people doing real work – making their jobs easier, safer, and more transparent.
They also create a foundation for more flexible, connected ways of working across the business. This project is a practical example of how user-first design and
scalable technology can unlock lasting change.

Challenges
Energy Queensland identified two high-impact workflows where thoughtful innovation could make a real
difference: daily fleet safety checks and time entry for field-based teams. These processes are fundamental to
safe operations and workforce planning – and offered a clear opportunity to introduce tools that were more
streamlined, consistent, and data-driven.
At the time, safety inspections were completed manually and stored in vehicles, making it harder to share
insights or respond quickly to emerging issues. Time and cost entry varied across systems and locations, adding
unnecessary complexity to a routine task completed by thousands of employees.
Rather than update existing tools in isolation, Energy Queensland took a more ambitious approach. By
reimagining these interactions from the ground up, the organisation aimed to improve the experience for
frontline teams while unlocking better data and stronger system integration. It was a deliberate decision to start
with the tasks that matter most to the people closest to the work – creating early momentum for a more
connected and digitally confident future.

Solution
To deliver smarter, more consistent digital experiences for its field teams, Energy Queensland designed and
deployed two mobile-first applications: Pre-Start Checklist (PSC) and Simple Time and Cost Entry (STCE).
Built on SAP Business Technology Platform (BTP) and integrated with SAP S/4HANA, the STCE app also
connects with Workforce Scheduling (WFS) and two Ellipse instances—reflecting a broader integration
landscape across key enterprise systems. Developed in close collaboration with the people who use them every
day, these tools were designed to be intuitive, purposeful, and ready for scale.
The PSC app enables fleet safety checks to be completed directly from mobile devices, with instant visibility into
inspection outcomes and issue tracking. The STCE app provides a consistent, mobile-friendly way for employees
to log time and project costs, supporting better planning and cleaner, more connected data.
As Energy Queensland’s first BTP applications, these tools also set new internal standards – establishing trusted
patterns for integration, security, and user experience. A phased rollout allowed teams to refine as they scaled,
with structured feedback and targeted training built in from the start. More than a technical implementation, this
initiative represented a shift in mindset: from process-heavy systems to simple, effective tools that connect
people, data, and decisions in real time.

Impact
Over 5,200 employees use STCE
each week, supporting up to 42,000
transactions per week.
285 fleet assets received targeted
safety alerts since PSC launched in
August 2024.
120 hours of manual effort removed
per day – equivalent to 15 FTEs.
Energy Queensland’s new digital tools are delivering real value – improving how teams work, how decisions are made, and how the business supports its people:
Safer, more transparent operations
Vehicle safety checks are now fully digital, giving teams and leaders real-time access to inspection data. This supports quicker action, improved compliance, and
stronger safety outcomes.
Faster response when it matters
The PSC app has already enabled fleet-wide alerts – helping the organisation identify and respond to potential risks before they escalate.
Simplified, more consistent time capture
Employees now log hours through a single, mobile-friendly platform. This has improved data quality, streamlined workflows, and removed friction from a routine task.
Strong engagement across the workforce
More than 5,500 users log in monthly – a sign that the tools are intuitive, trusted, and making a difference, even for teams less familiar with digital systems.
A launchpad for what’s next
These apps have become a template for future innovation – showing that when solutions are built with users in mind, digital transformation feels natural, not forced.
This is transformation done with purpose – focused, human-centred, and ready to scale.

“”"Safety is a key priority at Energy Queensland, and the Pre-Start Checklist
app has given our teams an intuitive way to complete vehicle checks and
report defects in real time – helping us keep our fleet safe and on the road.
At the same time, our Simple Time and Cost Entry app has made it easier
for employees to capture work effort against specific jobs. By moving away
from paper and standardising processes across legacy systems, we’ve
improved data quality, supported better project estimation, and taken a
meaningful step toward our future-state technology landscape."
