Recruitment Marketing
Goulburn Valley Health (GV Health) is the main referral health service for a catchment population of 120,0000 people in the Goulburn Valley and employs more than 3,000 staff.
GV Health is a multi-campus facility, providing a broad range of hospital and community health services and residential aged care throughout the region.
Operating in the healthcare sector, where staff are constantly juggling patient care with administrative duties, the team at GV Health faced a significant challenge. They needed to
implement a new recruitment and onboarding system urgently, following the discontinuation of their previous system, Mercury eRecruit. This change was crucial not just for
operational efficiency but for maintaining the quality of patient care amidst staff shortages, a prevalent issue in regional Victoria where GV Health operates.
In January 2024, GV Health went live with SAP SuccessFactors Employee Central, Onboarding, and Recruitment Management. This transformation project was completed within
an extremely tight timeframe with limited resources, taking just six-months in total from design commencement through to the end of integration.
The implementation of the SAP SuccessFactors suite has enabled GV Health to benchmark and input metrics to help manage demand. It has also empowered employees and
managers with self-service functionalities to manage and update their personal information, while also enabling audit compliance.

Challenge
Operating in the healthcare industry, where recruitment challenges and staff shortages are prevalent, particularly in
regional areas, GV Health’s operations are dependent on business-critical recruitment systems. These systems are
vital for managing turnover and filling gaps efficiently, directly affecting patient care and the stability of healthcare
delivery. Compounding the challenge, GV Health is situated in regional Victoria, an area currently facing acute
challenges in sourcing healthcare staff.
Faced with the challenge of addressing an urgent need for a new recruitment and onboarding system, after the
discontinuation of support for their existing infrastructure, Mercury eRecruit, this initiative was critical. This sudden
lack of support exposed the organisation to significant operational risks which would affect the level of care provided
to thousands of patients. With limited resources and a looming deadline, achieving the project's ambitious objectives
and timeline necessitated an exceptional level of dedication and collaboration among all involved.
In the regional health industry, the opportunity to implement a new system doesn’t come along often, so GV Health
used this instance to overall their entire core HR functionality with the Employee Central.

Solution
In January 2024, Goulburn Valley Health (GV Health) went live with SAP SuccessFactors Employee Central, Onboarding and Recruitment
Marketing. This project was successfully executed and deployed within an impressively short period of just six months, thanks to the
highly collaborative and dedicated efforts of GV Health, SAP, and Deloitte. The remarkable commitment and synergy among all parties
involved were pivotal in achieving this milestone under such a stringent timeline.
Importantly for GV Health, the roll-out project included multiple integrations to enterprise systems including Recruitment Background
and Compliance Checks, cGov and Totara.
Training was provided to all 3,000 users to ensure smooth adoption and to address IT literacy. This preemptive approach facilitated a
higher-than-expected engagement rate.

Impact
Transformed GV Health’s HR functions
from multiple disparate systems to one
single integrated SAP solution,
including the automation of many
employee self service processes that
were previously manual
Over 1500 candidate profile updates,
increased visibility of workforce data,
self service model for staff and
reduced turn around timed for staff
and recruiters in employment changes
Successfully deployed a new HRIS SAP
solution within 6 months – on time and on
budget – with 3,000 staff moved away
from paper-based processes.
Goulburn Valley Health (GV Health) now manages its end-to-end organisational HR needs through one automated SAP solution. The solution
offers one single source of truth in real time, where the complete set of the organisation’s employee data is accessible, and there is an
assurance of the flow-through of information between all integrated systems to avoid wasted employee time with duplicate entry.
From go-live of the new SAP system, there have been major enhancements across the board for managers and employees at all levels. For
managers, there is an increased level of transparency, control and oversight of their organisational structure and workforce data. It is now easy
to manage approval processes online and there are improved efficiencies to create and advertise new jobs.
Both employees and managers are now benefitting from the availability of self-service to update their bank and personal details, as well as view
and accept contract variations in system. This has vastly improved the employee experience, moving to a transparent online self-managed real-
time system, which empowers managers and employees.
The SAP solution was quickly and easily able to be enhanced with variations in processes so that GV Health could be agile in responding to
various requirements brought about by a worker shortage and any influxes in onboarding, such as compliance checks.
GV Health and Deloitte successfully worked together to deliver an SAP integration project at scale within a very short timeframe with limited
resources.

"Implementing our new human resources information system at GV Health has not just streamlined our
hiring and onboarding; it's fundamentally reshaped the way we handle our workforce information. Right
from the start, our staff showed a keen interest in the system, updating their details and engaging with its
features. This enthusiasm points to the system's user-friendly design and how comfortable many feel
using it. It's also reduced the workload of our HR and payroll teams by turning what used to be manual,
paper-driven tasks into smooth, digital operations. Plus, the system's ability to integrate everything into
one platform means our people aren't wasting time flipping between different systems. As we keep
adjusting our processes to leverage this new tool fully, the benefits are set to increase, marking a big leap
forward in how we manage everything HR-related.“
