Mota-Engil Group wanted to free up its foremen and administrators from a manual goods-delivery process to focus on value-adding work. Digitalizing the process for goods delivery

Founded in 1946, Mota-Engil Group is a multibusiness, multinational company operating in 21 countries across Europe, Latin America, and Africa. It specializes in engineering, construction, environment, infrastructure, and mining projects.

 

Following procurement and logistics processes, the company’s suppliers deliver goods to each of its work sites. There, its foremen must ensure that these goods are properly received by manually checking a delivery note against the goods. This follows a paper-based workflow to the on-site administrative assistant, who is responsible for inputting the information into SAP software.

 

The challenge for Mota-Engil was to balance the time needed to accurately input goods-delivery data against other administrative tasks. The company realized that it needed to digitalize this paper-based process.

As you can imagine, uploading paper-based delivery details into our system can be seen as a low-priority activity for our administrators. However, it’s a very relevant step in the process in financial terms, because it unblocks invoices for payment and affects things like cost and sustainability.

Using agentic and generative AI in the procure-to-pay process

Mota-Engil has been working with Inetum, a digital services consultancy, over the years to support its use of SAP software. Recently, the partner held design-thinking workshops to explore how cloud and artificial intelligence (AI) capabilities could help drive efficiency in Mota-Engil’s operations, particularly when engaging with suppliers. As a result, Inetum developed a generative AI platform—Procure2Pay Agentic AI—for Mota-Engil that runs on SAP Business Technology Platform (SAP BTP), creating a foundation on which to scale its processes. The engineering company adopted SAP Business AI features, including the Joule solution and SAP AI Core infrastructure to take advantage of monthly software releases from SAP. It also deployed the SAP Document AI solution to rethink its document processing for structured and unstructured data.

 

Mota-Engil has integrated these AI capabilities, along with the Procure2Pay Agentic AI platform developed by Inetum, on SAP BTP and its legacy IT environment. It now has a tool that allows it to identify the location of its employees at construction sites. Its foremen can use the platform to upload images of the goods received or delivery notes, which are then matched with other information in its SAP solutions.

Supplier relationships are critical. While there’s a need to engage with suppliers as fast as possible, goods need to be received as ordered to allow for quick payment. With the Procure2Pay Agentic AI platform we developed, Mota-Engil can increase efficiency, reduce errors, and engage much faster.

Reducing the administrative burden and driving efficiency

Using the Inetum-developed Procure2Pay Agentic AI platform and implementing SAP solutions has resulted in several major benefits for Mota-Engil. It has reduced working hours in the goods-delivery process, freeing up its foremen and administrators to focus on value-adding activities in projects instead of paperwork. It has increased data accuracy and reduced errors, enabling better decision-making at central and local levels. And it has strengthened relationships with its suppliers by being able to engage with them faster and by driving efficiency in the procure-to-pay process.
