In this demo, you'll see how the SAP Business ByDesign solution enables you to expedite period-end closings with a closing cockpit, organize, monitor, and streamline the entire closing cycle, and verify that the closing process is followed in the correct sequence. In this example, CFO Edward Black logs onto SAP Business ByDesign to initiate the company’s quarterly close. He starts the process in the general ledger work center by navigating to the closing cockpit view and opening a new period-end close. After entering the process description, Ed only has to enter the fiscal year and period since the company code and set of books fields are already populated. From the pop-up menu, he selects Iris Green as the responsible employee and specifies that the close should be completed within five days of the end of the period. Next, Iris logs into her work center and views a list of closing-relevant tasks that have been assigned to her, including a high-priority transaction that is unresolved. She reads through the transaction details carefully and then clicks on the document flow tab. The transaction is for a check that was deposited but did not appear in the latest statement from the bank. It may have cleared after the statement was issued so she views the bank account online and sees that the check has cleared. She also reviews the internal document flow and notes that all steps were completed and that the transaction was correctly posted to the ledger. She clicks on the release button to clear the issue. Returning to her closing tasks, Iris selects another item that needs to be resolved. This one is for a payment. She reviews the transaction but doesn’t understand why it’s being delayed, so she requests clarification. From the general data tab, she sends a message to Bill Wagner, the person who posted this transaction. SAP Business ByDesign’s workflow functionality helps streamline tasks like these by prompting action from your extended team to maintain momentum during the closing process. When Bill receives the message, he’ll login into his work center and clarify the issue. Several days later, satisfied that all closing tasks have been completed, Iris runs a trial balance. From the general ledger work center, she selects the report gallery where she scrolls through pre-built reports to the trial balance report. Iris runs a quick check of the numbers and is satisfied that they balance, so she sends the report to Edward for his review and approval. As you have seen, the SAP Business ByDesign solution helps you close your books more efficiently with a closing cockpit that streamlines the entire closing cycle.
