In this demonstration, you’ll see how the SAP BusinessObjects Spend Performance Management application and the SAP Sourcing OnDemand solution can help you maximize sourcing savings based on increased spend visibility, ensure compliance through automated contract management, and gain full transparency into supplier information and performance. First, you’ll learn how SAP BusinessObjects Spend Performance Management helps you align sourcing strategies with your company's savings goals, manage procurement performance, and act on opportunities for cost savings. Align sourcing strategy with your company's savings goals. Martin Schumann is chief purchasing officer of Earthshaker Manufacturing Corporation. He uses SAP BusinessObjects Spend Performance Management to view enterprise-wide spend patterns. He can track buyers and opportunities to bring more spend under contract. He can also check the status of top procurement initiatives. An alert warns him of potential problems with an initiative that could affect an entire plant. A single click lets him drill into the SAP Sourcing application for details. A view of aggregated spend by category helps him identify savings opportunities and identify supply-rationalization opportunities, or a sole-sourced supplier risk. For example, he sees an opportunity to rationalize suppliers of hex bolts. Martin e-mails a report to key team members to establish a strategy for critical spend categories. Manage procurement performance. James Gordon is a business analyst. He uses SAP BusinessObjects Spend Performance Management to monitor spend performance and identify opportunities for strategic sourcing. He can establish critical success factors that affect performance, and set goals. He notices that non-purchase-order spend exceeds his goal. He looks at contributing factors and sees that a large percentage of U.S. spend is non-P.O. He views contributing factors by category and sees that 16% of non-P.O. spend is in manufacturing components. He can go to the full report for multidimensional analysis. James also has a goal to identify opportunities to rationalize suppliers. He has set a threshold to show savings opportunities that exceed a certain amount. He looks at the savings potential if corrugated packaging were purchased from the supplier with the lowest price. He also checks the market price feed to confirm the average market price. He opens the full report to analyze the opportunity further. James can see packaging items that can be consolidated into a market basket for negotiation with vendors. Act on opportunities for cost savings. James Gordon, the business analyst, wants to take action based on savings opportunities surfaced by SAP BusinessObjects Spend Performance Management. There's an opportunity to consolidate suppliers across packaging line items, potentially at the category level. James will invite suppliers to participate in a competitive bid. He creates an sourcing RFP with historical data such as supplier, price, and item. With a single click, James can launch SAP Sourcing to continue the bidding and negotiation process with suppliers. SAP BusinessObjects Spend Performance Management enables you to take advantage of accurate and actionable data, benefit from continuous-flow spend analysis, and achieve tangible financial results. As you have seen, SAP BusinessObjects Spend Performance Management is tightly integrated with other SAP offerings, to help you align sourcing strategies with your company’s savings goals. In the next demonstration, learn more about the SAP Sourcing OnDemand solution. The SAP Sourcing OnDemand solution: Simplifying management of the strategic source-to-contract process. In this demo, you'll see how SAP Sourcing OnDemand enables you to perform and optimize sourcing management; requests for information, quotations, and proposals; real-time auctions; contract authoring and lifecycle management; supplier onboarding; and supplier information and performance management. In this example, I’m a sourcing manager at Global Corporation. I use SAP Sourcing OnDemand to help me manage my strategic sourcing projects. Leveraging the solution’s role-based dashboard, I have immediate access to relevant information and activities. I can also add to a favorites list to bookmark important reports, key documents, and previous searches. At any time, I can simply type in a key word to find a relevant document. When I click on a project link, I gain immediate access to everything related to that particular project. For example, I can manage sourcing activities, create a blueprint of my sourcing methodology, and track and report on savings. I can also create an RFx, auction, or contract and carry over key information for the project. This minimizes the information that I need to manually key in and reduces the cycle time associated with these business processes. On the” Project Header” page, I get an overview of the project, including a list of collaborators and links to documents and other activities for this project. In the “Schedule” tab, I can see the project status, who owns various tasks, and whether or not activities are on schedule. My company can configure the solution so that I can capture and monitor savings in the projects area. For example, using the “Accounting” tab, I can track forecasted and actual savings for each relevant time period associated with this project. Today, I would like to review an RFx that’s related to a project I’m currently working on. As you can see, the user interface is very similar to the one I used in the project area. Using the questions tab, I can ask the suppliers questions. Using the “Preferences” tab, I can also note my preferences – for example, I can choose to score vendors automatically to reduce evaluation time, or through collaboration with key stakeholders. I can also weight questions to drive decision making based on the most important issues, as well as include line-item pricing formulas to determine the total cost of ownership for the purchase. Here, we can see a particular line item formula that was created to determine the price unit formula. If we want to add another formula, we can simply pick and choose the information that is most important to us. This information will be used during the RFx evaluation. Here, I can get an overview to help me compare suppliers. Because SAP Sourcing OnDemand is fully integrated with the SAP BusinessObjects Dashboards software, I can instantly access robust and user-friendly reporting. As you can see, I can score by price and by value score, in addition to the formulas that I entered into the supplier evaluation previously. Once I evaluate all of the supplier proposals, I can award business and create a contract, or I can run an auction in real time to ensure that I have achieved market pricing and the best overall value from qualified suppliers. I can choose a variety of auction types, disclosure rules, times, and extensions and transformational bidding factors to optimize the strategy for a particular category of spend. On the bidding page, I can monitor the auction both graphically and in a tabular format. The software enables me to centrally manage the auction, pause the auction, delete an incorrect bid, monitor the countdown clock, and manage the auction schedule. A real-time auction monitor displays updates during live auction events. I can award business directly from an auction, update an RFx with the auction results, or create a contract as the next step in the sourcing process. SAP Sourcing OnDemand also lets me manage the complete contract life cycle – from authoring through retention and removal. With SAP Sourcing OnDemand, I can also maintain and monitor metadata, such as key contract dates and line item details, as well as create and execute a legal contract using Microsoft Word based on pre-approved contract language. Because the software is integrated with the SAP ERP application, I know that purchase orders and invoice payments will comply with the terms negotiated in my contract. This also makes it easier to manage key dates, such as expiration dates for master agreements and subagreements, so I can renegotiate them. By clicking on the “Line Items” tab, I can see important details, including pricing and the product category. I can also generate, red line, approve, and execute an agreement using SAP Sourcing OnDemand. Here, I can compare contract versions and view redlined contracts to see what changes have been made. I can also distribute reports to provide visibility and key information to stakeholders. With SAP Sourcing OnDemand, it’s also easier than ever to create and manage supplier records. Suppliers can self-register and provide key information about their services to Global Corporation. Because I’m authorized to review and approve supplier registrations and modifications, this information is automatically routed to me. I can also assess a supplier’s performance and view other key information, such as diversity status, all through a central repository. Here, I can search for suppliers based on different criteria – for example, by company name. I can drill down further to see more information about the supplier. The software maintains performance-related scorecards based on Global Corporation’s key metrics, which I can share with suppliers. As you have seen, with SAP Sourcing OnDemand, you can perform and optimize: sourcing management; requests for information, quotations, and proposals; real-time auctions; contract authoring and lifecycle management; supplier onboarding; and supplier information and performance management.
