Below are the terms and conditions for attending the 7th International SAP Utilities Conference 2009, as well as its affiliated hotels.

Ticket Description

The ticket includes keynote presentations, exhibit hall access, presentation sessions, the welcome event, and the evening event.

"Buy Four Get One Free" Participation Rules

Rules of engagement – Only full conference registrations qualify for the "Buy Four Get One Free" package.

• All five registrants must be employed by the same company and possess the same e-mail address domain.
• One lead registrant must take responsibility to purchase the "Buy Four Get One Free" package.

Promotional terms of use – Only new registrations are eligible for the "Buy Four Get One Free" promotion. Current active registrants of the 7th International SAP Utilities Conference 2009 Munich do not qualify.

• SAP employees are not eligible to participate and/or purchase registrations for this promotion.
• The "Buy Four Get One Free" promotional offer cannot be used in conjunction with any other discount or promotional offer(s).
• SAP reserves the right to cancel and/or modify this promotion at any time.

Payment terms and conditions – For all early-bird registrations, payment must be received by July 20, 2009. For all other registrations, payment must be received prior to the event. Please be advised that your registration is not considered confirmed until payment has been received in full. All registrants must pay 19% German VAT. Registration is not considered paid unless the VAT has been included with each registration payment. Please note that all payments must be made in euros.

Cancellations – All cancellations must be received in writing. Please fax your cancellation notice to +41.22.33.99.651 or send an e-mail before the September 29, 2009 deadline. Cancellations made after the September 29, 2009 deadline and delegates who do not attend and do not cancel will be liable for the full registration fee.

Substitutions – Substitutions must be received in writing, be addressed to the registration office, and include the names of both the original and the substitute registrants.

Event cancellation – In the event that the 7th International SAP Utilities Conference 2009 is cancelled, registrants will be refunded only the registration fee. Cancellation of travel reservations and hotel reservations is the exclusive responsibility of the registrant.

Hotel Terms and Conditions

Prices and room type – All prices are in euros and the price quoted is per room, per night. Local tax is included in the rate. A single room rate entitles one person to occupy the room. A double room rate entitles two people to occupy the room. Some hotels have included breakfast in their rates and some have not. Inclusion of breakfast will clearly be indicated when you are processing your hotel booking online.

Cancellation policy – By making a reservation with the registration office or the conference Web site, you expressly agree that, in the event of a cancellation of a hotel reservation after the close of business on September 29, 2009 (18:00 CET) or a no-show on the reservation date, your credit card will be automatically debited by the hotel for the total number of nights of your reservation.

No-show – If you are unable to utilize your room on the original date of arrival, you are obliged to inform the registration office in writing to notify it that you will arrive on the following day. If you fail to inform the registration office in writing that you wish to utilize your room for the second night of your reserved stay, the hotel will make every effort to accommodate you, but its actions do not constitute a guarantee.

Late arrivals – Please advise the registration office if you will arrive late.

Please note that after September 29, 2009, you will be unable to make any amendments, cancellations, or date changes via the Web site. Please contact the registration office directly, using the contact details in your hotel confirmation. Date changes after September 29, 2009 may also incur charges.
